Dynamically Expand the Source Data for Pivot Tables in Excel 2007

Without question, the new Tables Tools is my favorite feature  in Excel 2007 – this feature, alone, is worth the price to upgrade!

When you format a Data Range as a Table in Excel 2007, you can “append” new data to the table and the Table definition automatically expands to incorporate the new cells! If you create Pivot Tables based on a “Named Range” for your source data, this is GREAT NEWS!

Now, after appending the new data to your “Named Table: in Excel 2007, when you refresh your Pivot Table, you automatically get updated data in your Pivot Table report.

This can save you hours each month – at what – $50.00 per hour? $100.00 per hour? Watch these savings add up each month of the year

Tell Excel 2007 Not to Display a Formula Error in a Cell

Excel 2007 introduces a brand new Function – the =IFERROR() Function which is a great way to “hide” any potential Formula Error Messages from displaying. You know these error messages – #DIV/0!, #NULL – They are ugly to look at and they can harm your professional reputation.

Watch how you can use =IFERROR() in Excel 2007. Or, if you are using Excel 2003, I show you how to accomplish the same goal but with a few more steps using the =ISERROR() Function nested inside an =IF() Function.

Make Excel Data Come Alive with Visualization Tools

Excel 2007 has added great new Data Visualization Tools. Now, you can place a Bar Chart directly in the cells that contain your values. Wow! There is no need to create a separate chart to “paint the picture” for your audience.

You can add Data Bars, Color Scales and Icon Sets to help your data to come alive from the Conditional Formatting Command on the Home Tab of the Ribbon in Excel 2007. Watch this short video to see how it is done!

  1. Automatically expand in size to add Columns (Fields) and Rows (Records)
  2. Use Natural Language Formulas – Copied down the column automatically!
  3. Total Rows Tool – great for seeing the results in filtered lists
  4. Easy to use Filters for Dates (Last Week, Next Quarter, etc.), Text and Numbers (Above Average, Top 10, etc.)
  5. Improved Formatting – Use Live Preview to see what style options look like before you select them

View Excel Worksheets Side by Side

This is another Excel 2007 Video Lesson that I created in response to a view’s request for help. Excel 2007 makes it quite easy to view two worksheets “side by side,” but there are a couple of “got’cha steps” to be aware of in order to make this work for you.

First, I want to clarify the difference between three similar words that I use in this lesson – “Windows, Workbooks, Worksheets.” We will be opening up multiple Windows in order to compare multiple Worksheets which can be part of one or more Workbooks. “Windows, Workbooks, Worksheets” – Oh My!

It is easier to show you the difference, so let’s view this lesson.

Preventing Formula Errors from Displaying

Formula Errors in Excel – e.g. #DIV/0! or #NULL! – are ugly! And, when you send a spreadsheet that contains formula errors to your client or to your boss … Well, that is not good.

It plants the seed of doubt in the minds of your client or your boss that you have not thoroughly checked the accuracy of your assumptions. Why are there errors showing? What else is missing?

Excel 2007 makes it easy to prevent these formula errors from displaying. We have a new Function in Excel 2007 – The =IFERROR() function and it only requires two arguments. Be warned, however, that if you share your Excel 2007 worksheet with colleagues who are using earlier versions of Excel, this new function will not – well, function! (I could not resist using this pun)

Watch this video to learn how to use the new =IFERROR() function and also the nested =ISERROR() function that is required for people who use Excel 2003 or older versions.

Visualizing Your Data in Excel 2007

Excel 2007 makes it easy to “visualize” your data – directly in the cells of your worksheet! You do not need to take the time and effort to create a chart to visually represent your information.

You just take advantage of the tools in the newly-engineered Conditional Formatting command in Excel 2007. In this lesson I show you how to visualize your data as:

  • Data Bars – you get the equivalent of a Bar Chart drawn inside the data cells.
  • Icon Sets – pick from groups of 3, 4 or 5 Icon sets – for example, to show the data in the top third of your data range.
  • Color Scales – to add gradations of colors as numbers increase or decrease.
