How to Display Numbers During a PowerPoint Presentation

How many presentations do you “sleep through” – where the presenter displays slide after slide packed with numbers? Probably more that you wish – unless you need to catch up on your sleep!

Numbers are powerful – they help to support your point of view; they help to make your case. But, don’t overwhelm your audience with numbers, numbers, numbers. Don’t make the assumption that “the numbers speak for themselves.” If they do, then why do we need to hire you to advance the slides? Just send the numbers to us. Or… include them in your handout.

If you are going to “present” numbers, you need to direct the discussion of those numbers so that the audience can see and understand the trends that you are pointing out. One effective way to do so is to use Custom Animation in PowerPoint to introduce one chart series at a time.

How Do You Respond When Equipment Fails During a Presentation?

Equipment will fail. Your Laptop will display the “Blue Screen of Death.” The Bulb in your Projector will suddenly “Pop!” You will:

  • Forget to pack your Power Cord
  • Bring the wrong PowerPoint Presentation
  • Trip over a Power Cord and …

It is not a question of IF; it is a question of WHEN. When your equipment fails, how will you respond? What will you do? How will you recover?

This question was posed on one of the LinkedIn Groups that I belong to – “Great Communicators! Effective Presenting & PowerPoint.” I posted my thoughts – including my own list of what to bring whenever I travel to make a presentation. Geetesh Bajaj, a Microsoft MVP for PowerPoint liked my response and he turned it into an article on his blog. How to Lead a Meeting People Enjoy Attending

Don’t laugh, you can learn how to lead meetings that people really look forward to attending!

Successful meetings follow a process. In this video you will learn the three-step process for successful meetings:

  1. Prepare for the Meeting – Determine the purpose for the meeting and prepare an action agenda and invite the proper participants to the meeting.
  2. Run the meeting skillfully – Run the meeting in support of the action agenda and ensure full participation for each person invited to the meeting.
  3. Follow-up – Assign roles and responsibilities during the meeting. Ensure acceptance of these assignment. You are already preparing for your next meeting – to follow-up on the decisions and information from this meeting.

Statistics Do Not Tell Complete Story

Recently, I was asked to contribute an article on persuasion to another blog. It is a text article. And, I like the way that it turned out.

Here, is a video presentation of that article. Increasingly, I am inclined to contribute video blogs – in addition to traditional text blogging. Both forms of blogging are attractive and each attracts its own audience.

I am interested in hearing your thoughts on both: the topic of video vs. text blogging and on the content of this blog on persuasion.

The Company Rocks: Words Blog

Welcome to my latest blog “The Company Rocks Words!” Here, you will find short video tutorials offering you “tips & time-savers” when you use Microsoft Word. You will also find articles and commentary on our use of words to communicate ideas and to share information. We will examine which words work better than other words – and the reasons why they are effective.

I train individuals and groups to get the most out of MS Word for Windows. And, I train clients to improve their communications skills. My clients range from students to Fortune 500 executives. I have trained clients in a variety of industries; in the United States, Canada and Australia.

Most of my clients realize that they use only a fraction of Word’s powerful features. And… they want to learn how to tap into Word’s power in order to:

  • Save time
  • Be more productive
  • Present text in a clearly understood, professional manner

On this blog, I will share my tips with you via video tutorials. Each lesson will be brief (between 3 and 5 minutes) and to the point (1 concept per video.)

Many of these tips will show you how to transition from your familiar work in MS Word 2003 to the dramatically different Word 2007 interface.

The current version, 2007, is quite different – to say the least! Many clients are initially intimidated by the radically different interface. I will help you to transition to the new version – when you are ready.
